Overview
The Medical Education Assistant provides essential administrative and operational support to the Office of Medical Education. This role will provide administrative support for the programs within the R. Randall Rollins Center for Medical Education, assisting with compliance, scheduling, and communication tasks to maintain high standards of medical education.
Responsibilities
Assist in the daily operations of the Office of Medical Education including preparing and maintaining accurate records, reports and documentation related to UME, residency, and continuing medical education. Manage correspondence including email, phone calls and mail.
Supports the Administrative Director, Medical Education/DIO, Director of Medical Education and program coordinators in administration of the programs including onboarding processes, credentialing, and orientations.
Assist in the coordination of meetings and calendar management for the office.
Provides research and administrative support for special projects.
Assists in preparation of accreditation documents and reports including monitoring and tracking trainee certifications, visas, and other documentation
Serves as a point of contact for medical students, residents, faculty, and other staff regarding medical education related inquiries.
Composes and types correspondence, reports and meeting minutes as assigned.
Assists in the maintenance of GME/UME databases and systems, generates reports, assists with surveys and data collection for continuous improvement initiatives.
Event planning (White Coat Ceremony, Match Day, Awards Ceremony, Welcome Picnic, Orientations, etc.) finding venues, tracking RSVP's, ordering food, creating award certificates, handling invoice payments, arranging seating charts, buying supplies, set up and cleanup of events
Maintains department equipment and restocks department supplies.
Orders supplies, restocks, reviews comments left in feedback boxes and sends to appropriate GME leadership, submits appropriate tickets for IT, Plant Operations, and EVS services when needed
All other duties as assigned within the scope and range of job responsibilities
Qualifications
Education: High school diploma or equivalent
Experience: Required - 2 years of administrative experience, an additional 2 years of medical education experience preferred.
Skills: Clear communication skills, both written and verbal; basic knowledge of computer programs, ability to keep information confidential, demonstrates excellent customer service skills
Location: Hybrid possible. Some evening and weekends may be required.
