Maintain regular cooperation and compliance with all regulatory and accrediting agencies, and membership-based organizations, and other hospitals and healthcare facilities including the Joint Commission, National Committee for Quality Assurance, Centers for Medicare and Medicaid, Department of Public Health, Health Resources and Services Administration, Physicians Health Organization, etc. Create and carry out various credentialing processes for all physicians, advanced practice clinicians, and various other healthcare professionals joining or continuing service with Cape Cod Hospital and its affiliated facilities. Ensure that all personnel and services adhere to hospital and medical staff policies, bylaws, department guidelines, regulations, and government laws.
PRIMARY DUTIES AND RESPONSIBILITIES:
Credentialing of all Medical Staff and Advanced Practice Clinicians on the staff of Cape Cod Hospital, the Duffy Health Center and other affiliated CCHC facilities. Enforce pre-established time frames in processing initial applications and reappointment applications for Medical Staff privileges as defined in the Medical Staff Bylaws through to the approval of the Board of Trustees.
Have a strong working knowledge, uphold and enforce the CCH Medical Staff Bylaws, Rules & Regulations, Credentials Policy, APC Policy, Joint Commission Standards, CMS Guidelines, DPH Regulations and other appropriate guidelines and regulations.
Fully supports the Executive Director in organizing and running the Credentials Committee, Medical Executive Committee, Annual and Quarterly Meetings of the Medical Staff, monthly departmental meetings and various other meetings of the medical staff as requested by preparing and distributing agendas, minutes, notices, making room and food arrangements etc. to above mentioned committees and their members.
Maintains accurate hospital-wide Medical Staff database for all practitioners and all facilities. These databases include primary source verifications of pertinent licenses, education, training, work experience, etc.
Provides detailed statistics to Financial Services, distributes monthly rosters and accurate lists upon request.
Credentialing coordinators must prepare their own records for regular auditing, as well as maintain close communication with all appropriate practitioners to ensure that records are up-to-date and consistent.
Process onboarding paperwork, occupational health clearance and ID badges for the medical students, residents and APC students. Assist in housing arrangements and serve as the on-site administrative contact during all clinical rotations.
Adheres to professional confidentiality standards in accordance with legal, ethical, and hospital policies. Ensures data security and confidentiality.
Demonstrates strong interpersonal skills, frequently interacting with medical staff leadership, hospital administrative leadership, nursing leadership in addition to various departments throughout our organization.
Demonstrates ability to multitask and maintain flexibility in an extremely busy work environment while maintaining a positive attitude and adjust priorities on a daily basis to meet changing deadlines.
Serve as back-up support to the Chief Medical Officer and Executive Director. This includes answering the main phone line, calendar support, processing mail, equipment maintenance, supply ordering, general office support etc.
Performs other duties as requested/directed.
High school degree required; Bachelor’s Degree preferred.
Current NAMSS CPCS and/or CPMSM certification preferred.
Minimum of 3 years of experience working in a similar role.
Experience understanding the organizational structure of a hospital medical staff office and overall hospital operations.
Strong working knowledge of Joint Commission Standards, NCQA Standards, CMS Guidelines and Massachusetts DPH Regulations.
Skill in establishing priorities with independent coordination of credentialing function.
Excellent communication, organizational skills and conflict resolution skills
Ability to work in a fast-paced environment and multi-task
Must demonstrate flexibility and professionalism
Superior knowledge of Microsoft applications, primarily Excel and strong working knowledge of Adobe Acrobat Professional
