Executive Assistant - Wyoming Behavioral Institute, Casper, Wyoming
REPORTS TO: Chief Executive Officer, Chief Financial Officer, Chief Operations Officer or Associate Administrator or delegate
POSITION SUMMARY: The Executive Assistant is responsible for providing a wide-range of administrative support and tracking for members of the Executive Leadership team. These functions include attending and taking minutes for various meetings, maintaining administrative and medical contractor files, tracking contract compliance, vendor agreements, insurance coverage as well as providing support relating to confidential matters as required. Expected to give minimum of 4-weeks notice prior to voluntary resignation.
WORKING CONDITIONS: Work is primarily completed in an office environment. Involves long periods of sitting and moderate to heavy phone use.
Participate in special projects as assigned by the Executive Leadership Team.
Coordinate, attend and maintain records and minutes for Board of Directors, Senior Leadership Team Meetings, Medical Executive Meeting and other meetings as assigned.
Maintain, monitor and assist with maintenance of records for all hospital, physician and vendor contracts utilizing defined systems and processes. Great attention to detail required for contract compliance.
Coordinate, correspond with and track progress for credentialing and re-credentialing of all physicians and allied health professionals.
Prepare, track, monitor progress, maintain and renew administrative records for the purposes of evidencing insurance coverage, payer status records, vendor tracking, lease monitoring and compliance for a number of contracts, vendor affiliation agreements as well as University/student contracts. Ensure record tracking is accurate, timely and progressing through defined tracking systems per parameter designs utilizing a number of "tickler" systems to ensure accuracy of reporting.
Assist in preparing credentialing files and related personnel documents and records for The Joint Commission, State site surveys and internal audits for hospital and regulatory compliance. Correspond with and assist physicians, hospital staff and professional references for medical providers to ensure accuracy of hospital records and credentialing files.
Prepare and maintain records, files and information needed for hospital contracts, billing, Medicare and Medicaid applications, insurance coverage and management operations contracts for the entire hospital
Maintain, monitor and distribute schedule of on-call providers, administrative calendars, hospital meetings and regularly scheduled activities for the hospital. Takes calls, email correspondence and reservations and serves as "booking agent" for call schedules, meeting spaces, technology reservations, required travel and necessary functions of the hospital leadership team.
May serve to monitor and track accounting of petty cash banks including replenishing stock of cash-on-hand for purposes of ease of operations. May require simple accounting tasks, balancing cash banks and will require in-town travel for purposes of making deposits to bank accounts during or after hours.
Works with finance, executive, payroll, human resources, clinical and other departments to ensure accurate and timely processing of necessary records to facilitate the efficient functioning of the Executive Leadership Team. Will perform general clerical duties, report generation and other duties as assigned at the request of leadership team.
