Work Schedule: Full Time - 80 Biweekly Hours
Shift: 8-hour, Days
Under the immediate supervision of the Area Director for Medical Staff Services, the Medical Staff Services Manager will:
Process and obtain primary source verification for all aspects of provider credentialing (including initial and reappointment), as well as gather in-hospital quality/activity data.
Update and maintain expirable documents, such as medical license, DEA, malpractice insurance, fluoroscopy, ACLS/PALS/ATLS, etc.
Update and maintain the credentialing database.
Produce, obtain signatures and distribute letters following Board of Trustees' approval.
Process, obtain signatures and distribute information regarding temporary privileges in a timely manner.
Support Medical Staff meetings, including drafting agendas, collaborating with Medical Staff Leaders and/or meeting attendees regarding agenda items, taking meeting minutes and providing timely meeting follow up.
Prepare agendas, minutes, reports and files to review with Department or Committee Chair.
Assist the medical staff with the implementation of policies and procedures necessary to maintain SJHS-HC's accreditation status related to credentialing and Medical Staff support.
Develop and maintain smooth working relationships with the Medical Staff and hospital leaders at Redwood Memorial Hospital and/or St. Joseph Hospital.
Respond in a timely manner to requests for provider verifications from outside agencies.
Participate in on-going professional education.
Complete / Submit applications for CME.
Collaborate and maintain communication with the CMO, the Area Director and the other members of the Medical Staff Services Team.
Attends assigned Medical Staff Department and Committee meetings, manages the agenda in cooperation with the chair, assembles meeting packets, takes meeting minutes and follow up, including composition of memos and correspondence. Provides communication regarding special programs as needed.
Develops and maintains a physician orientation program which addresses all regulatory requirements and provides new medical Staff members with an understanding of hospital mission, culture and values.
Completes physician reappointment process per the standards.
Manages department policies and procedures consistent with regulatory requirements when needed.
Maintains records as follows: Medical Staff Bylaws, Rules and Regulations, Medical Staff credentials files and profiles and medical Staff privilege request forms.
Works in close collaboration with the Medical Staff Services team regarding credentialing, management of the credentialing software and coordination of physician events, including, but not limited to the Doctor’s Day celebration and Physician Orientation events.
Works in close collaboration with the Area Director regarding process and system concerns, preparing the annual budget and completing assigned tasks on behalf of the department.
Coordinates survey preparation for RMH Medical Staff and maintains survey readiness at all times. In conjunction with the Area Director and Legal Counsel, facilitates judicial hearing reviews and/or intensive assessments as required.
Conducts peer review activities to identify and assign cases for review. Works with HIM to assure availability and timely completion of reviews.
Compiles medical record delinquency reports and other quality improvement reporting as needed.
Draft, compile and distribute Medical Staff and Allied Health Professional information, including reappointments, dues and fees, meeting notifications, etc.
Responsible for the maintenance of all credentials files (physical or electronic) at RMH, ensure they are current and maintain confidentiality.
Manages department policies, Rules and Regulations and Medical Staff Bylaws consistent with regulatory requirements.
Ensures that Medical Staff Services Office functions are consistent with regulatory requirements.

Safety: Helps to provide a clean, comfortable environment for customers and others by taking appropriate safety precautions and responds to urgent safety situations effectively.
Organizes, prioritizes and completes activities in an efficient manner.
Demonstrates initiative in assisting others and performing other duties based on skill level and training orientation.
Quality Improvement Program: Participates in department problem solving, suggests improvements, and facilitates change.
Minimum typing speed of 50 wpm with accuracy, using proper grammar and correct spelling.
Proficient in utilization of Word and Excel software, Outlook and willingness to learn the medical staff credentialing software.
Ability to communicate, both verbally and in writing, with physicians, SJHS-HC staff, employees, and patients.
Helpful, service-oriented approach is critical to the Medical Staff Services Team.
Excellent listening and verbal communication skills.
Critical thinking skills, including the ability to problem solve, both independently and in collaboration with others.
Ability to prioritize, organize and systematically handle a variety of tasks simultaneously.
Ability to write routine reports and correspondence.
Ability to read and interpret documents such as hospital safety rules, hospital policy and procedure manuals, Medical Staff policies, Bylaws and Rules and Regulations, as well as regulatory guidelines.
Ability to manage high-volume, deadline-oriented office functions and processes.
Ability to identify and resolve issues in a timely manner.
Strong secretarial, organizational and multi-tasking skills.
Proficient in medical terminology.
Minimum Position Requirements:
Experience: 5 years Progressive Medical Staff Office or healthcare environment experience.
Licenses/Certifications: CPCS (Certified Professional Credentialing Specialist), or CPMSM (Certified Professional Medical Staff Management) certification via NAMSS (National Association of Medical Staff Services)
Preferred Position Qualifications:
Education: Bachelor's Degree in Business Administration, Health Care Management, or Human Services.
Experience: Experience with regulatory compliance/accreditation processes.
